Open Play Session Refunds
We understand that plans can change. If you have registered and paid for an Open Play session but can no longer attend, you may request a full refund provided you notify us at least 5 hours before the scheduled start time of the session.
Why 5 Hours?
When you cancel early, it gives us enough time to open your slot for other players who may be waiting to join. This helps keep sessions full and ensures everyone in the community gets a fair chance to play.
Refund Eligibility
- Eligible for refund: Cancellation requests received at least 5 hours before the session start time.
- Not eligible for refund: Cancellation requests received less than 5 hours before the session start time, or no-shows.
How to Request a Refund
To request a refund, please message us directly through our Facebook page with the following information:
- Your full name (as registered)
- The date and session you are cancelling
- Your reason for cancellation (optional)
Refunds will be processed within 1–3 business days after approval, using the same payment method used during registration.
Exceptions
In cases of emergencies, severe weather cancellations by the organizer, or other extraordinary circumstances, refunds may be granted at the discretion of the session organizer regardless of the 5-hour notice requirement.
Session Cancellations by Organizer
If a session is cancelled by the organizer for any reason (e.g., weather, venue unavailability), all registered players will receive a full refund automatically.
Changes to This Policy
We reserve the right to update this refund policy at any time. Changes will be posted on this page and take effect immediately. Continued use of the platform after changes constitutes acceptance of the updated policy.
